DESCRIPTION

The Parish Administrator is the central administrative and operational manager for St. Augustine Parish in the Archdiocese of Washington (ADW), which includes five parish buildings and grounds: the Church, Gingras Center, Rectory, Convent and School. As a strategic leader, the role will include:

1. developing an office policy and procedures manual

2. informing and keeping staff and volunteers in compliance with the policies and procedures

3. developing effective networking between the Finance Council, Parish Ministry Heads and with the Archdiocesan Offices when applicable

4. working with the Pastor, staff and lay members to achieve the highest level of efficiency for our Parish operations

The Parish Administrator will provide efficient, professional, cooperative business and facility management leadership within the parish with the purpose of allowing the Pastor maximum freedom to provide pastoral care to the parish community.

MAJOR RESPONSIBILITIES AND DUTIES

HUMAN RESOURCES MANAGEMENT:

• Supervise the parish secretary, bookkeeper/accountant, sacristan, office volunteers, and conduct annual performance reviews for all staff.

• Establish, update, and maintain job descriptions, personnel policies and procedures as documented in the ADW employee handbook.

• Collaborate and coordinate with the parish secretary and clerical staff, volunteers (and other staff as assigned by the Pastor) to develop annual performance goals, objectives, and action plans to carry out the mission of the parish and create a positive and productive work environment.

• Become familiar with wage, salary, benefits and the administration of the human resources policies and procedures

• Recruiting, interviewing and recommending for hire and onboarding/orientation of all Church staff positions.

• Review the ADW Personnel Policy Manual annually and inform Pastor and staff of any changes. In addition, when deemed necessary propose to the Pastor recommended changes to the ADW policy manual.

FACILITIES MANAGEMENT

• Regularly Monitor and Inspect the condition of all buildings and grounds, furnishings, and equipment. Review all maintenance contracts.

• Work with general contractors (eg. Tilmon Properties and Spectrum Management) and vendors AMS, Pest Control, Network Depot, ESSI [security], Landscape, snow removal, postage, copier, etc.) to ensure that parish operations run smoothly.

• Propose and recommend ideas to provide attractive and more efficient usr of campus space (office, meeting, St. Augustine Room, etc).

• Manage maintenance and custodial personnel, ensuring that parish buildings are properly maintained

• Review and Oversee facility related vendors.

• Liaison for all General Contractors engaged by the Parish (Tilmon Properties and Spectrum Management, etc.) and assure that all contractors are in compliance with Archdiocese policies and procedures and District of Columbia building code.

FINANCIAL

Work in Collaboration with the Bookkeeper, Accountant and Finance Council to ensure the smooth operation of all financial aspects of the parish including financial planning, investment strategies, banking relationships, budgeting, insurance and risk management, and stewardship.

LEADERSHIP AND COMMUNICATIONS

• Manage and support parish-wide communication, including bulletin, ministry brochures, emails, social media and website, etc.

• Recruit and Recommend Professional and Volunteer assistance as needed.

• Manage third-party vendor(s) (Network Depot) support for technology infrastructure including computer and network systems, hardware, and software.

• Serve as the Archdiocesan liaison in matters of parish administration with assistance from the Parish Secretary and Pastor as needed.

• Provide input and documentation related to the agendas of the Parish Pastoral Council and Parish Finance Council. Also provide guidance and resources for the Heads of Ministry.

ADMINISTRATION

• Ensure parish records are maintained and archived securely, including the maintenance of sacramental records. (Secretary Only)

• Oversee filing, storage, and shredding of all important parish documentation including but not limited to monthly, quarterly, and annual reports.

• Update of Parish census every 2-3 years.

• Oversee the purchase of all office equipment and supplies, including physical (furniture, computers, printers, etc.) including computer software and systems; and regular replacement of needed supplies in all three conference rooms.

• Oversee efficient maintenance of work spaces.

• Ensure that all information technology (IT) and information security initiatives are secure (passwords, virus detection, etc.) and maintain a copy of all security information in a secure place.

• Maintain comprehensive overview of all church ministries functions and procedures in order to serve as a resource to all staff and the congregation.

• Manage and oversee the development and training of volunteers that assist in the office.

• Become familiar with the bi-weekly payroll process, in the absence of the Parish Secretary

• Become familiar with the online giving Faith Direct System

• Become Familiar with the child protection program and recommend improvement for a more efficient implementation.

• Assist the Pastor with reminders of deadlines and the process to obtain approval of contracts and be in compliance with Archdiocese policies and procedures.

• Assist the Pastor with preparation of materials for seminars, workshops, classes and parish meetings (Parish Pastoral and Parish Finance Council);

• Be the liaison to the archdiocese for all the pertinent offices regarding programs and initiatives relevant to Parish's ministries and mission. Connect ministry heads to relevant offices at the Archdiocese and to Grants for Parish initiatives.

• Be up to date regarding clergy communications from the Archdiocese. Identify Ward 1 Community engagements Contacts.

QUALIFICATIONS

• All Church employees must conduct themselves in a manner that is consistent with and supportive of the mission and purpose of the St. Augustine Parish and the Archdiocese of Washington. The necessary academic qualifications and experience for the Parish Administrator position is as follows:

• BA in Business Administration, Finance, or related field, or 5 years of related experience 3+ years’ experience in supervisory and management skills

• Pass the Archdiocesan background check.

SKILLS

• Knowledge or familiarity of human resource management principles, including personnel policies, procedures.

• Knowledge of communication methods, Microsoft Office and standard online platforms, including proficiency in Windows system and software, including but not limited to

• Microsoft Word, Excel, Publisher, Power Point; and the ability to learn other software tailored for church organizations.

• Ability to become familiar with Archdiocesan policies and procedures regarding personnel, insurance requirements and reporting required.

• Experience in successfully leading and managing staff and volunteers with empathy, honesty and candor.

• Collaborate effectively with Pastor, staff, volunteers, parishioners and other stakeholders.

• Be self-motivated and take initiative.

• Effective and efficient time management skills and ability to multi-task and prioritize work on daily basis.

• Demonstrated planning, organization, and problem-solving skills.

Job Type: Full-time

Pay: $50,000 – $65,000 per year, commensurate with demonstrated experience Benefits:  401(k) matching Health insurance Paid time off
